Here are answers to the most frequently asked questions about these topics

In order to gain access to our offers, you can register free of charge and without obligation in the registration area. Afterwards we need a proof of employment / a legitimation, which confirms that you are active and full-time in the tourism industry.

 

The most common reasons why you cannot log in are wrong access data or missing legitimation. You can request a new password in the login area using the function "Forgot password". If you are still unable to log in with the new password, the e-mail address you entered may not match the address stored with pepXpress. If you are unable to log in due to a lack of legitimation, a corresponding error message will appear in the registration field. Please send us a current legitimation so that we can activate your account for use again. If you still have problems with your login, you can of course contact us by phone or e-mail.

It is not possible to save two e-mail addresses. Under "account details" you can change your e-mail address and all other details at any time. Please note that multiple registrations are not allowed..

pepXpress is a special tour operator for worldwide PEP, interline and travel agent trips.

For this purpose, the service providers provide services at special conditions which may only be used by tour operators. Thus the entrance to our on-line travel portal, www.pepXpress.com, is permitted exclusively to registered users of enterprises with touristic background. The legitimation, which must be provided since 2010 in the context of the registration, is a written proof, which confirms an existing employer-employee relationship in the tourism industry.

The service providers reserve the right to request the legitimation of the travel applicant from pepXpress before the start of the trip in order to ensure that only authorised persons really use the PEP offers.

The following documents are accepted as long as they are issued in German/English, are valid or dated (not older than three months!) and clearly show the connection to the tourism industry. As part of the plausibility check, pepXpress expressly reserves the right to request further proof.

  • Group, company or travel agent passes (here you can order our PEP pass - THE advantage card for ALL tourism professionals)
  • Completely filled out pepXpress-legitimation forms with current date, company stamp (here the touristic connection must be clearly recognizable), signature of the superior and name of the superior in block letters (You receive the form after successful registration by mail and you can download at any time under "account data" again).
  • Written work confirmations on business paper with company stamp and signature of the superior (with brief description of the area of responsibility as well as the field of activity of the company)
  • Commercial register excerpt/trade certificate in combination with agency contract or booking confirmation

The following documents do not demonstrate an active activity in the tourism sector and are therefore not accepted:

  • Business cards, club cards, credit cards
  • Employment contracts, certificates, pay slips, flight schedules, etc.
  • E-mails, links, signatures or screenshots of websites
  • Invalid, expired or out-of-date ID cards/documents
  • Documents proving identity with different names (e.g. after marriage)

Important note: Please note that the identification document with which you are registered with us must always be carried during a trip. The service providers can ask you to present it at any time. Should you not be able to identify yourself as a holidaymaker, you must expect an additional charge or exclusion from benefits. A refund of already paid services after the trip by pepXpress is excluded in such a case.

If your legitimation is successful, your access to our portal is activated for a maximum of three years. After the expiration of this period a new legitimation is required. If your proof of identity is only limited in time or if a validity date is indicated on the document, access to our portal is possible until this date. We reserve the right to carry out random checks of the proof of identity during the validity period.

If, in your case, there is no active employment relationship within tourism, you are unfortunately no longer entitled to use our offers. Please note that we can also activate retired tour operators by presenting the relevant document.

 

Unfortunately, we cannot activate interns or temporary staff for our offers. Please note that you must work full-time or part-time in order to take advantage of our offers.

 

On our website you have the possibility to filter the products according to different criteria with the help of our search engines.

Simply select the tab with the desired travel type (hotels, cruises, cities & events, air travel, round trips) and then use the filter function of the search engine to find the appropriate trip within the selected travel topic. To make the search easier for you, there is a search function in each tab. Here the filters are adapted to the respective travel type.

If you would like to browse through our offers and are not looking for a specific travel period, you can use our general search engine in the "All trips" tab.

Unfortunately we cannot offer non-binding reservations. According to our General Terms and Conditions, however, you have the option of cancelling your booking free of charge on the same day of booking, given that there are at least seven days left before the start of the journey. The only exception are products with special cancellation conditions. For these products, you will find a reference to this in the description.

With many offers you will find in the travel description whether we can offer a transfer suitable for the trip. If this is not the case, you will find various cooperation partners under "Advantage Partners".

For holiday transfers, we offer transfers in more than 175 countries to more than 30,000 hotels.

If you would like to travel individually, you can also find car rental providers at our advantage partners.

During the booking process you have the possibility to select your train ticket as an optional additional service. Follow the individual booking steps in which the number of passengers with and without Bahncard, the desired class and the corresponding departure station are queried. For identification in the train, please deposit your Bahncard or credit card (VisaCard/Mastercard) when booking.

If you have already made your booking, we can also make the booking for the train journey for you at a later date. In this case, we will send you an e-mail with a link to our online booking form, where you will be asked for the data.

Accepted payment methods are bank transfer, credit card (Visa, Mastercard and American Express) and instant bank transfer (online banking transfer procedure of SOFORT AG).

Transfers: are possible up to 14 days before arrival. Our bank details are printed on your invoice. For transfers from abroad, all fees must be paid by the client.

IMMEDIATE bank transfer: IMMEDIATE bank transfer is the direct transfer procedure of SOFORT AG. With "instant bank transfer" you can conveniently transfer the respective amount to your online banking account. We will receive a real-time confirmation after completion of the transfer. IMMEDIATE transfer complies with the high security standards of online banking and has TÜV-certified data protection. You neither need to register nor do you need a credit card. You pay simply, securely and quickly directly with your online bank account. With the confirmation of your booking, you will receive a payment link by e-mail via which you can make the payment yourself.

Credit card: Credit card payments are possible via VisaCard, Mastercard and American Express. With confirmation, you will receive a link for processing your payment. Click on this link to process your payment via a secure page. Please note that we do not store any credit card information. This means that your credit card will not automatically be charged for further payments.

A deposit of 20% of the tour price (but at least 25.00 euros) plus any optionally booked insurance premiums is due upon booking of the trip. The balance must be paid 21 days before arrival.

In case of booking less than four weeks before arrival and a total travel price of less than 250.00 euros, the total travel price is due immediately.

Any deviations from the generally valid conditions are listed directly in the travel description.

The second EU Payment Services Directive (PSD2) aims to increase security and competition in digital payments. From September 2019, this will mean some innovations in the area of online payment transactions.

Credit card payments must be authorised by your credit card company before they can be made. If no authorization has been given, no payments can be made. Please contact your credit card company directly if you have any problems with the online transaction.

Changes and cancellations must be made in writing. A rebooking or cancellation is unfortunately not possible online. Please send your change of booking or cancellation request by e-mail to info@pepXpress.com or via our contact form to us for processing. For booking changes or change requests, please state your booking number, your name (travel applicant) and your change request.

As soon as the cancellation has been made, you will receive confirmation of the cancellation. We will send you your cancellation invoice as a PDF file in the days following the cancellation. As a rule, we will send you the cancellation invoice within one week after cancellation of the trip. In case of cancellation, please provide us with your bank details (account holder, bank code/BIC and account number/IBAN) in order to refund any difference.

Please note that our office is always open from Monday to Friday (with the exception of public holidays) from 08:00 to 18:00. The cancellation becomes effective upon receipt of your message. The time of cancellation is the next working day after the weekend, on public holidays or generally on weekdays after 6 pm if the message is received.

The PEP card is THE advantage card for ALL tour operators and an ID card to identify yourself as a holidaymaker. With the PEP card you receive a variety of attractive discounts from providers of rental cars, leisure activities and various service providers in the field of travel. Current travel information and entry regulations for German citizens can be found on the website of the Federal Foreign Office or via TIP, Touristik-Informations- Programme GmbH.

Customers of other nationalities should inquire at their embassy or consulate in their home country.

It is the responsibility of the participants to obtain necessary visas and vaccinations in accordance with the relevant entry and health regulations. Travellers must ensure that the information given in the booking regarding the person travelling corresponds to the information on the passport/identity card.

Alternatively, an EXPI Special offers a classic information trip focusing on hotel visits rather than the leisure programme.

In the tourism industry, the abbreviation PEP stands for Product Experience Program, also translated as "Product Education Program" or "Product Experience Program".

Product Experience Programs are designed to enable tourism professionals to get to know travel products personally. A travel agency employee who has already experienced a tourist service (flight, hotel, transfer, etc.) or destination can speak from personal experience during a consultation. He knows the product better and can therefore make a recommendation.
